Setup Organization Before Inviting Users
Be sure you've set up training and groups for your organization before you begin inviting users.

(Invite up to 10 emails at a time)
Now that your organization is set up, you can begin inviting learners. You must create a group prior to inviting your learners.
- Click the Learners tab in the sidebar navigation menu.
- Click the Add Learners button in the top right.
- Select a Group that you want to add learners to.
- Select Add Manually.

A modal will pop up allowing you to add up to 10 users at a time.
- Note: A group is required to invite. You can invite a user and manually assign additional groups or training once they've associated with your organization.
- Click the Add Learners button at the bottom. This will open up a Notification modal where you can choose to notify your Learners now or at a scheduled time later.

Upload Learners
(Invite up to 500 emails at a time)
Now that your organization is setup, you can invite up to 500 users at a time by using the Upload Learners* option. You must create a group prior to inviting your learners.
- Click the Learners tab in the sidebar navigation menu.
- Click Add Learners in the top right.
- Select Upload Learners*.
- Follow the instructions and click Download Template File.

Enter in the data similarly to how you would for the Manual Upload option.
- Note: This data (most notably the groups) is case and space sensitive. Make sure that you are typing the exact email and group name. We recommend copying and pasting to ensure this.
- Save the file to your computer and return to the Upload Learners modal.
- Drag and drop or Upload the file from your computer and click Preview Upload.
- Review the preview of your import file. If all looks good, click Approve or click Disapprove if something looks off.
- Once approved a Notification modal will open where you can choose to notify your learners now or at a scheduled time later.
As the invitation emails are sent, your users will be listed on the Learners page. You can also review previously imported spreadsheets on the Import Learners Page.
*Note: This is a feature available to active subscriptions.

Join Organization Web Page
You can also invite learners through a public landing page customized to your organization. This option allows users to join your organization without an invite being sent. You must create a group prior to your learners joining.
- Click Premium Features in the sidebar navigation menu and select Join Org Web Page.
- Click the toggle to enable your organization's webpage. This will make the webpage available and allow users to join.
- Click Copy Link to Clipboard and paste it in another tab or window to check it out. This link can be added to any emails, texts, websites, employee portals,
- Here users will be required to choose their Location, Group, and input the email they’re taking training on. They then will click Join Organization.
- They will be taken to an email verification screen, similar to when they registered.
- After verifying their email, they will be directed to log into their account to complete the process and accept the invitation within their account.
Web Page Link Settings
The Join Org page also has a few settings in itself:
- Customized URL: Here you can enter a custom URL for your webpage link. I.e invite.mandatedreportertraining.com/organizationname
- Email Allow List: Entering an email domain here will allow only individuals with that domain in their email address to join your organization. Leaving this blank allows any individual to join. I.e. typing in organization.com will only let learners join with @organization.com email addresses.
*Note: This is a public link. Anyone with the link can use this page to join your organization as a learner. Use caution when sharing your link or the Email Allow List to restrict access.
Invite Support + Glossary
You've just sent out a bunch of invites but don't see anyone's training or account. What's going on?
Invites
Invites are always a double-opt in process meaning you have to send the invite and your learners have to accept it in order for them to connect. Their names will also not show up until they've accepted and associated with your organization (data privacy).
At any time you can use the ⟲ icon to resend the invites to your learners and the × to cancel the invite.
Glossary:
Prospect - Invite is attempting to be sent to the listed email. Once delivered it moves to pending
Pending - Invite has been sent via email, waiting for your learner to accept.
Cancelled - After clicking the × the status will update to cancel the invite (breaking the link you sent).
Declined - Invite not accepted and was declined on the learner’s side
Active - The learner has accepted your invite, was added to the group you assigned, and automatically assigned the training attached to the group.
Archived - Disconnected from your organization. Archived learners will retain access to any in-progress training currently assigned to them. Admins will not see in-progress data but will retain all data about previous organization issued certificates to that specific learner.
If any learner has already started their training on their individual account before associating AND is active, reach out to our help desk who can help transfer their progress.
PLEASE INCLUDE THE FOLLOWING INFORMATION:
- Learner's email
- The name of the training - please list the exact name of the course and not ‘child abuse or mandated reporter training’
If your organization learner is having any issue with the process, please have them attempt it in a private/incognito window by copying and pasting the invite there. This removes the possibility of any caching/automatic sign-in from occurring which can break this process.
